Bill your customers for the hours you work. The Time tab keeps every hour with who did it, what it was for and the rate it bills at, and turns the ones you pick into invoice lines in one step.
Record hours
Open Time and press New entry. Fill in the day, the hours (type 1.5 or 1:30, both work), who did the work and what it was for. Time is kept to the minute, so three 20-minute calls (0:20 each) bill as one full hour, never 0.99. The description becomes the line the customer reads on the invoice, so write it for them: "Site survey and measurements", not "work".
Pick the customer and leave the rate blank to bill at their rate, or type a rate to bill this entry differently. The window shows what the hours come to before you press Record hours.
Time that nobody will be billed for (your own bookkeeping, a sales call) can be recorded as Not billable. It stays on the list for the record and never reaches an invoice.
Rates
Press Rates to set the default rate per hour, the income account hours post to, and each customer's own rate. An hour bills at the rate on the entry, else the customer's rate, else the default. An entry with no rate anywhere is named before you invoice, so a customer is never billed a guessed figure.
Invoice the hours
Press Invoice hours. Pick the customer (only customers with unbilled hours are offered), tick the entries to bill, and choose how they read:
- One line per entry shows the customer each day's work, dated, with the name of who did it. Sunrise Realty sees "9/3/2026 Dana Reyes: Site survey and measurements, 1.50 x $120.00".
- One line for all folds everything at the same rate and account into one figure of hours.
The window shows what the invoice will say before anything is created. Press Create invoice: the invoice posts exactly like a typed one, with the next number, your default terms and any sales tax the income account carries. Each entry now shows Billed with the invoice number, and opening it takes you to the invoice.
Expenses you pass on
A cost you paid for a customer - materials, a permit, a delivery - can be billed to them. On the bill, check, bank payment or card charge, pick the customer in the line's Billable to column (on a check or card charge, turn the column on with its chip above the lines). The cost then waits for that customer, and the Time tab's band says how many are waiting.
Invoice hours and expenses lists them beside the hours: tick what to bill. Each cost goes on the invoice at what it cost and posts back to the expense account it was paid from, so the cost and what the customer repays net out on the Profit & Loss and in the job's profit. A Markup adds a second line for each cost to the income account set under Rates, because a markup is income.
Once billed, a cost stays with its invoice: its customer, account and amount are fixed on the bill or check until the invoice is voided (its words can still change), and the bill says which invoice it went on. Only a cost on an expense account can be passed on - stock is billed by selling the item. Voiding the invoice puts the expenses back; deleting or voiding the bill or check takes a cost that was still waiting away.
Changing your mind
Hours on an invoice cannot be edited or deleted; the invoice carries them now. Each entry knows the invoice line it is billed on, so you can still edit the invoice: remove a line and exactly its hours go back to the unbilled list; keep a line (even with a new quantity or wording you changed on purpose) and its hours stay billed on it. Void or delete the whole invoice and all of its hours return to the unbilled list, ready to be invoiced again.
Finding your way
The band at the top counts unbilled, billed and not-billable hours; press a chip to show only that kind. Filter by customer, search by any word, and set the dates for billed work. Unbilled hours are always shown whatever the dates, because they are the work still waiting. Print or download the list from the toolbar.
